Do you have Control of your Facebook & Instagram Pages?

If you're a business owner using Facebook and Instagram, it's essential to understand and use Business Portfolio for managing your social media accounts. One of the biggest issues we see when onboarding new clients is that they often do not have proper access to their Facebook or Instagram pages. Most of the time, we see that a past social media manager has full control of their social media assets, and the business owner has no idea (often, neither does the prior social media manager).

The Business Portfolio, formerly known as The Business Manager / Business account, is where you keep your Meta digital assets, such as your Facebook Business Page, Instagram Profile, Ad Manager, etc., and grant access to these assets.

  • View and manage your Meta business assets, such as Facebook Pages, Instagram accounts, ad accounts, and catalogs.

  • Manage other people's access to your Meta business assets

  • Removes the need to be personal friends with your employees and vendors on Facebook.

  • Easily remove employees and vendors once the project is complete.

How to Access My Business Portfolio:

  1. Log in to Meta Business Suite

  2. Access the Business Portfolio using the drop-down menu in your navigation bar on the left. To access the backend of the Business Portfolio, click on the gear icon next to your business name in the dropdown menu. Once in the Business Portfolio, you'll see a tab on the left-hand side that says People, Partner, etc. Click on people to grant access to new employees. Ensure two people from the Business have complete control of your Meta assets.

Troubleshooting Ideas:

  1. Log in to your Business Facebook page, and switch to operate as your Business.

  2. Click on the profile page.

  3. Click on "Setting" on the left-hand side of the page.

  4. Click on the "Page Setup".

  5. Click on "Page Access." Here, you will see who has access through their personal Facebook page—there should be no one! Once on this page, look for Business Portfolio Access. Make a note of the ID number.

  6. Click on "Page Set Up."  

  7. Click on "View Page Management history." This tab will show who might have access to the correct Business Portfolio. Please make a note of each person, starting with the most recent person to have access, and contact them for a screen share meeting. You must have them log into Facebook Business https://business.facebook.com/ using their personal credentials. Once logged in, go to Meta Business Suite Home; find the business portfolios in the dropdown menu in your navigation bar on the left. If you see your business name and a gear icon next to it, have them click on the gear icon. You will now be in the back end of the Business Portfolio. From here, have them add you as an admin to the business portfolio with full admin access to all assets.

If you can not gain access to your profile, your next step is to contact support. When doing so, have the following documents ready:

  • Copy of valid government-issued ID (of the individual signing the statement); any of the following are accepted:

  • Passport

  • Government ID

  • Driver's License

  • For Civic requests, Government Employee IDs will be accepted.

  • A signed statement with the following details:

  • Government Letterhead or Seal, Company Letterhead (where appropriate)

  • Clear and readable signature (signed by hand or digitally confirmed)

  • A description of requestor relationship to the Business and the Business ID (and authority to request access to the Business, as applicable)

  • An explanation of the request (example: there has been a termination of the employment and/or business relationship with the named person(s)/Business and another person needs to be added as Admin)

  • The Facebook account (URL/ID/associated email) needing to be added as an admin

  • One of the following:

    • The name of the current person(s) who manage the BM as applicable the relationship of the above person(s) to the Business OR

    • A reasonable explanation of why the current persons who manage the BM is/are not known to the requestor

    • A declaration that the information you have provided is true and accurate, e.g. "I certify that the information provided is true and accurate" or similar

  • Evidence of a claim to ownership (one of the following)

  • Option 1: Individual amounts of the past three invoices on the ad account(s) that the BM own and include the last 4 digits on the credit card +the credit card expiration date.

    • Note: Invoice information will only be accepted if included directly in the body of the signed letter/statement

  • Option 2: Credit Line Monthly Invoice for owned ad account

  • Option 3: Provide at least one supporting documentation:

  • Domain Name Assignment Agreement or

  • Deed of Assignment of Intellectual Property or

  • Utility Bill or

  • Articles or Certificates of Incorporation, Formation, or Organization or

  • Business Licenses or Permits or

  • DBA documents or

  • Tax Certs. and Licenses or

  • Bank Statements, Summaries, Letters or

  • Credit Score Reports or

  • Securities and Trading Documents

  • Trademark/registered/copyright document: e.g. Certificate of Federal Registration. 

In closing, we strongly encourage your to take 5 minutes and make sure you OWN your Facebook and Instagram pages. Most business owners spend a lot of money each month on social media to not have complete control over these assets.
